What You Will Do
The Executive Assistant (PH) is responsible for supporting an Executive Project Manager (Director) and their Walt Disney Imagineering (WDI) team. They must demonstrate strong interpersonal skills with the ability to anticipate needs, take initiative, prioritize, meet deadlines, and be resourceful and flexible, while maintaining complete professionalism and confidentiality.
There will be expense reports, travel planning, hundreds of phone messages and endless calendar jockeying, but this job is very much about people. The relationship you form with the executive you support is critical, because that’s what enables you to become a true partner. In addition to understanding your executive’s business needs, you will also need to understand the leadership and workings of Disney Experiences and of related departments across the Disney enterprise. As the “face” of your executive within WDI, The Walt Disney Company, and outside partners, your professionalism, loyalty and attitude are a reflection of the office, and as such, are a key component to its success.
Perform administrative duties including, but not limited to, screening and routing phone calls, managing calendars, processing invoices, scheduling meetings requiring significant coordination and follow up, and ensuring timely and effective communications
Prepare expense reports in SAP and ensure they are submitted in a timely manner
Prepare for meetings including setup for large presentations/video conferences with multiple sites
Manage the planning, coordination, and execution of business travel, including trip logistics and itinerary, meeting coordination, and remote support of when executive is out of the office, taking into account time zones, weather delays, traffic and fatigue levels
Interface directly with other senior executives, their support teams and external organizations – your ability to work well with people on all levels is a very important part of your job
Review your leader’s schedule to build-in time for things like thinking and traveling to their next meeting
Understand the day’s priorities so you can be strategic about how you direct phone calls, adjust meetings, and help your leader prioritize activities
Be ready to throw the entire schedule out the door when an emergency comes up, then pick it up again when the dust settles
Handle extremely confidential, sensitive information, remembering that Disney is a publicly traded company
Draft letters and emails on behalf of your leader
Provide additional office support such as ordering supplies, and processing purchase orders and approval processes
Coordinate department off-sites and events as needed
Assist with any special projects and other related duties as needed
Required Qualifications & Skills
At least 3 years supporting an executive or equivalent experience
Ability to showcase professionalism and business acumen while working on a high demand desk
Sharp written and verbal communication skills, including flawless grammar and a rich vocabulary
Desire to immerse yourself fully and learn all aspects of your executive’s business
Ability to multi-task and prioritize work
Strong proficiency with all types of computers, phones and office equipment, as well as mastery of Mac, Microsoft Office programs, SAP, Confluence, Concur, and ability to work in a Windows and Apple environment
A calm head and steady hand to deal with the unexpected
Complete reliability handling confidential, often highly sensitive information
Desire to truly be helpful to your leaders and co-workers, to go above and beyond without being asked
Some flexibility in your schedule – we value work/life balance, but in a pinch, a bit more time is needed
Very strong organizational skills and attention to detail
Preferred Qualifications
Fluency in both Mandarin and English languages strongly preferred (speaking, reading, and writing)
Experience at The Walt Disney Company or experience working in a large public corporation
Experience working with Imagineering
Experience with video Teleconferencing (VTC) equipment, Slack, Zoom, Teams
Some presentation skills (Power Point, Keynote, Adobe suite)
Good knowledge of current technology trends
Experience in the architecture, design and construction industry
Education
Required: High school diploma
Preferred: BA/BS or equivalent
The hiring range for this position in Glendale, CA is $52,400.00 to $70,200.00 per year based on a 40 hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
