Executive Assistant to SVP of Human Resources
Seeking a professional executive assistant to support the Human Resources leader for Disney Entertainment Television (DET). The DET HR organization partners with the leaders and workforce in the television business to create an effective & inclusive workforce by attracting and retaining talent; building skills and leadership capability; encouraging high performance; and recognizing and rewarding achievement.
As the Executive Assistant, you will contribute to DET’s success by providing complex and responsible administrative assistance for the Senior Vice President of HR. You'll use your critical thinking to anticipate issues before they arise and network with internal resources to complete tasks. You'll help your executive prioritize competing projects and ensure ongoing administrative tasks are accomplished in a way that supports the Company’s business initiatives and objectives.
This role supports the initiatives and processes coming from the segment Head of HR. Key areas of responsibility will include understanding and supporting the HR agenda, preparing the SVP for her day-to-day calls and meetings, and working closely with the DET Leadership Team, and the larger HR team to ensure that deadlines and deliverables are met. This role provides great exposure to strategic HR work.
Responsibilities
- Provide overall administrative support for a high-level HR executive including but not limited to phone support, maintaining a high-volume calendar, and preparing for day-to-day meetings.
- Act as an extension of the executive in the operation of the daily affairs of the executive’s business
- Answer phone calls, email requests and written correspondence
- Manage executive’s calendar for day to day and business travel arrangements
- Manage heavy scheduling of conference calls and meetings, which calls for prioritizing and reprioritizing in accordance with the Chairman’s schedule and business imperatives
- Prepare expense reports and ensure they are submitted in a timely manner
- Create agendas, presentations, and other documents as needed
- Serve as front-line representative of DET’s HR office both internally and externally, engaging with all stakeholders in a way that reflects the Disney brand and values.
- Provide general office management support to HR team, including leading the HR Assistants to manage the maintenance of supplies and to handle building occupancy-related matters.
- Operate as SAP casual buyer to order supplies, make payments and reconcile invoices
- Oversee and manage deadlines related to ongoing projects and open matters with the team to ensure that SVP of HR is informed and able keep track of a wide array of work and projects across the client businesses and the various HR functions.
- Perform other tasks as assigned to support the DET HR executive leadership team.
- Partner closely with the Office of the Chairman for DET and the Office of the CHRO to ensure that SVP of HR is well informed and can adjust/pivot schedule when priorities change.
- Maintain confidentiality with respect to all matters and documents.
Basic Qualifications
- At least 3 years of general executive support experience
- Ability to effectively and professionally interface and build rapport with high level company executives and their offices, as well as with clients, peers, and partners, both internal and external
- Comfort in handling highly confidential information
- Ability to write clearly and communicate well verbally
- Attention to detail and accuracy
- Ability to draft, proofread, and edit documents for spelling, grammar, and punctuation
- Proficient in using PCs and MS Office Suite (Word, Excel, PowerPoint)
- Sound and mature judgment on the prioritization of tasks
- Self-starter
- Ability to work effectively in a fast-paced, multi-tasking environment
Preferred Qualifications
- Interest in a career in Human Resources
- Experience supporting HR executives
- Experience providing administrative support in a Corporate environment
- Experience using SAP Workplace and/or Workday
Education
- Undergraduate or equivalent experience required
The hiring range for this position in Burbank, CA is $73,400 to $98,400 per year based on a 40-hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
