Job Summary:

The DLR Operations Coordinator provides administrative, clerical and project management support for executive leadership, their direct reports and Cast.

In this role, you will support executives by providing project management support, research, and reporting.  Additionally, you will prepare documents, agendas, executive summaries and presentations which may include use of digital/technology solutions for virtual presentations.  You will fulfill other ad-hoc leader requests, support executive leadership, their direct reports and Cast (schedule complex meetings, prepare agendas to support business needs/objectives, capture and track action items/deliverables, optimizing leader’s schedules, and process/manage purchases & expenses) as well as being a part of the team.  It is expected that you will identify and drive efficiencies with the ability to self-educate and seek out resources to advance the business.

Responsibilities:

  • Coordinates, participates, and supports all stages of project lifecycle including; Initiation, Planning, Execution, Control and Closure.
  • Orchestrates communication and stakeholder engagement for projects to ensure individuals have the information required to complete deliverables.
  • Prepares and analyzes data. Conducts tracking as needed to support data collection/research.
  • Completes research, develops high profile presentations and prepares materials.
  • Prepares documents, agendas, reports, and executive summaries that support meeting objectives.
  • Prepares presentations in support of project to include which may include use of digital/technology solutions for virtual presentations.
  • Process/manage team's purchase orders, vendor contracts as well as leadership's expense reports.
  • Create travel itineraries that support leader's business objectives.  Calendars and coordinates travel and meetings with key partners associated with itineraries.
  • Prepares regular/weekly reports and business summaries for multiple (2-3) Operations General Managers.  May include support of the Vice President (e.g. weekly update reports that go to Sr. site Executives as well as other weekly operational reports used by leadership.)
  • Meeting coordination: prepares agendas to support business needs/objectives, captures and tracks action items/deliverables, completes follow-up as necessary with leaders/key partners to drive work to completion. (e.g. weekly GM or Sr Leader meetings, partner meetings, other business meetings, etc.)
  • Optimize scheduling of commitments on leaders' calendar. Be familiar with leaders' schedule(s) and adjust as needed to meet daily/weekly priorities.
  • Integration: Works as part of team to work better, faster, and smarter. Remains flexible in fast paced environment.  Seeks out key partners/team members to identify best practices. Works with others to identify and drive efficiencies.
  • Managing ad-hoc projects given by the supported executive.
  • Review operating practices and implement improvements where necessary.
  • Support event planning (e.g. birthdays, service anniversary recognition, lunch & learns, team building activities, skip level sessions, etc.)
  • Manage administrative office areas, including the procurement of supplies and maintenance of a well-organized office environment.

Basic Qualifications:

  • Demonstrated ability to manage heavy workloads, prioritize work appropriately and meet assigned deadlines.
  • Strong interpersonal communication skills to manage internal and external resources and work collaboratively with cross-functional and diverse teams.
  • Excellent organizational and analytical skills.
  • Bachelor’s degree or equivalent.
  • 2-3 years of administrative, project coordination and/or equivalent experience.
  • Excellent written and verbal communication skills, including excellent proficiency in English grammar.
  • Strong interpersonal skills, and the ability to build, maintain and manage relationships of the Walt Disney Company both internally and externally.
  • Strong organizational skills and attention to detail.
  •  Ability to track and organize a large volume of details, data, and tasks.
  • Ability to appropriately respond to and resolve cast and guest issues with little direction.
  • Ability to multi-task and prioritize deadlines/deliverables, making independent on-the-spot decisions to ensure smooth and efficient operations.
  • A proactive self-starter with a positive, can-do attitude.
  • Reliably handles confidential information.
  • Master of Microsoft Office Suites and working in Windows environment. Confidence to learn new programs such as SAP, collaborative work platforms and Concur.
  • Exceptional delivery of assertive professionalism, offer creative solutions to problems, maximize and drive work products and showcase action-oriented follow-through, be flexible with work schedule and meet impromptu demands.

Required Education:

  • High school degree, GED or equivalent experience.

Preferred Education:

  • Bachelor’s Degree.

The hiring range for this position is $62,400.00-$71,300.00. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
